Write these 5 files before buying AI

Breakdown

You don't need another AI subscription. You need five plain documents.

Most business owners buy an AI tool, type a question, get a generic answer, and assume AI doesn't work for their business. The tool isn't the problem. The tool has nothing to work with.

Before you spend another euro on AI, write these five files. Plain text. One idea per file. Short enough to read in a couple of minutes.

Your business overview. What you do, who's responsible for what, this quarter's priorities, and what you don't do.

Your customers. Who you serve, what they ask for, the words they use, and the customers you would never work with.

Your offers. Every service, what's included, what's excluded, and a schedule of your current prices.

How the work gets done. What triggers a job, the steps involved, what good looks like, the exceptions, and who's responsible for each step.

Approved examples. Real replies or proposals you were happy with, each with a note on why it was good.

That last file does the most work. AI copies examples better than it follows instructions. Give it three approved proposals and it writes the fourth the same way. Give it nothing and it guesses.

I call these five files the organisational brain. I've been building them with clients for over two years. Every time, the moment the five files are in place, the AI output jumps from generic to usable.

Write them for one recurring task first, not the whole business. If a new hire couldn't do the job from those five files, neither can the AI.

Comment BRAIN and I'll send you the folder, the five templates and a worked example.
