Why you're still working at 10pm

Breakdown

It's ten at night, and you're answering questions your team asked you at ten this morning.

Every one of them sat waiting on you all day. A reply needed your approval. A customer question needed your answer. A decision needed you to look at something first. In most small businesses that queue is where the work piles up, and the owner becomes the bottleneck without ever choosing to be.

Most of that queue is the same few requests coming back again and again. Repetition is exactly what makes it a good job for AI.

For one week, keep a list of every time someone waits on you. Write down what they needed and roughly how long they waited.

On Friday, sort the list into two piles.

The first pile needs your judgement, like an unhappy customer or a big spending decision. That pile stays with you.

The second pile only needs something you know, like where a file lives or how you word a particular reply. Write those answers down once, in one shared document, and give it to your team and to your AI. Keep it plain, one question and one answer per line, so anyone can find what they need in seconds.

Now when someone asks where the latest price list is, AI finds it. When a customer asks a routine question, AI drafts the reply in your words, and a person checks it before it goes out.

That second pile stops landing on your desk, and ten at night goes back to being yours.
